The Brown Smith Wallace Marketing department seeks a proposal coordinator with 0-2 years of experience that will help execute the firm’s aggressive marketing and business development strategy.

The proposal coordinator will primarily assist in developing proposals, engagement letters and sales materials for prospect presentations. Typical tasks include: meeting with internal teams to discuss the proposal/engagement letter opportunities, reviewing RFP requirements, assembling the RFP, writing and editing content for the RFP, printing and binding copies of the proposal (as needed).

Essential Functions:

  • Meet with practice leaders to identify what’s needed for each proposal/engagement letter opportunity and set timelines for delivery

  • Serve as a project coordinator for proposal opportunities, keeping the team and document on task to deliver a complete final document to meet deadlines

  • Assemble and/or write, edit, format, and proofread proposals/engagement letters, using Microsoft Word, with speed and accuracy

  • Manage production and dissemination of proposal responses to RFPs according to the prospect’s specifications

  • Provide exceptional client service to internal clients including developing rapport, being responsive, and providing high-quality deliverables on time

  • Develop PowerPoint presentations or other sales support materials for presentations, as needed, with strong attention to formatting, consistency, and graphic layout

  • Assist with keeping boilerplate content and client service professionals’ biographies updated

  • Develop a library/database of proposals, engagement letters and presentations and proposal language modules that can be pulled to facilitate ease of proposal creation

  • Manage multiple proposals/projects at a time and prioritize appropriately to meet strict deadlines

  • Work with BD coordinator to populate a system that facilitates tracking and reporting of proposal status and eventual wins and losses

  • Teach internal course for professional staff on how developing proposals and navigate the proposal template

  • Maintain and update firm-wide proposal and presentation templates using Word and PowerPoint, and keep abreast of ways to enhance both

  • Periodically attend courses on best practices in proposal development

Additional Duties included but not limited to:

  • Basic graphic design, e.g., InDesign, Canva

  • Copywriting

  • Administrative tasks as assigned

Education and Experience:

  • Candidates should have a BS/BA degree (or equivalent work experience) 0-2 years of work experience.

  • Staff: 0-2 years of experience in professional services organization

  • Flexible enough to handle complex assignments as well as routine administrative tasks

  • Must be able to work independently

  • Excellent organizational and project management skills

  • Strong verbal and written communication skills and interpersonal skills

  • Ability to develop and maintain strong internal relationships

  • Diligent initiative and follow up; ability to handle fast pace deadlines

  • Proficient in MS Office programs
