Job Description

Job Summary:

The main responsibility of the IT SVM Product Portfolio Manager is to build, maintain and enhance relationships with strategic (high-value and high-dependency) vendors and internal stakeholders (i.e. AIS leadership and end users). The manager will serve as liaison to the business. The manager acts as the key contact and subject matter expert for all pre-contracting and post contract execution activities. This includes assisting The Resource Group with negotiating contract terms, conditions, modifications, incentives and remedies, while working with key stakeholders to ensure that their requirements are met. Additionally, this position manages the day to day vendor management activities, including but not limited to resolving problems, mitigating delays, assisting with audits, mediating disputes and facilitating governance activities. Overall, the manager must ensure the organization achieves its objectives with strategic vendors and assists the vendors in their efforts to be successful within their customer's organization.


Position responsiblities include but are not limited to the following:

General Vendor Management Accountabilities:

  • Ensure adherence to policies, processes, and procedures enabling delegated functions to operate in an efficient and effective manner.

  • Build and maintain strong relationships with internal business stakeholders and external vendors to maximize business potential.

  • Network internally to understand business needs and identify improvement opportunities.

  • Maintain and enhance the administration of issue monitoring, SLA performance, and exception tracking in conjunction with various stakeholders and, where necessary facilitate remediation actions to improve overall vendor performance to meet business needs.

  • May serve as delegate to facilitate IT vendor governance and management oversight activities and will prepare and enhance associated reporting.

  • Customize training materials relating to vendor management requirements (created by IT SVM Operations team).

  • Provide regular updates to executive leadership on vendor risk, performance, and relationships. Liaise with other business leaders to understand, support, and meet their requirements and provide consultative insights for key business decision makers as it relates to vendor relationships.

  • Work in a self-directed, collaborative, and constructive manner with Vendor.

  • Manage team members, the business unit, and our internal stakeholders to contribute to the effectiveness of the Vendor Management processes and controls.

  • Adheres to policies and procedures as related to all aspects of IT contracting and legal processes as well as all financial management aspects to include compliance, capital management, operating budget management and security and controls.

Vendor Contract Process Development

  • Work alongside procurement colleagues to assist with developing statements of work (SOWs) and understand any current requests for information (RFIs), requests for quotations (RFQs) and requests for proposal (RFPs) that are in the pipeline.

  • Establish contract management objectives, procedures, templates and workflow processes for vendor portfolio and respective deliverable schedules to support contract change, renewal or exit processes.

  • Work with all teams (security, compliance and tax, human resources, finance and accounts payable, etc.) to ensure vendors are performing in accordance with existing requirements and regulatory obligations.

  • Administer commercial and financial arrangements with vendors to include billing, invoicing, performance incentives and remedies, and internal chargebacks, where appropriate.

  • Work with vendors and key stakeholders to establish clear contract change control processes.

Vendor Relationship Management

  • Maintain strategic vendor relationships in line with organizational requirements and processes to achieve exceptional levels of quality and service while maintaining competitive pricing structure.

  • Lead service reviews with vendors to ensure all terms and conditions are met and any problems are identified and resolved / mitigated in a timely manner.

  • Develop strong relationships with AIS leadership, business owners and IT procurement to support enterprise objectives, influence key stakeholders and jointly develop strategic sourcing strategies.

  • Establish governance to be applied, particularly during the contracting process to identify and limit points of contact for vendors, and clarify rights of authority for decision making.

  • Handle internal contract-related complaints or disagreements from the business or other internal stakeholders.

Vendor Contract and Market Insight

  • Understand relevant market trends and vendors. Track, gather and analyze market and industry data.

  • Effectively communicate a clear and concise contract overview (summary of key contract terms, risks, opportunities and service delivery guidelines) to key stakeholders, and provide clarity on contract elements when required.

  • Responsible for ensuring pricing is competitive by commissioning benchmarks as needed during the lifetime of the deal.

  • Manage contract review meetings to ensure delivery against objectives and contract budgets. Develop regular reports on contract milestones, execution and risk, and inform internal customers, vendors and management of activities and progress through regular written and verbal communication.



  • Bachelor's degree in a related field or equivalent work experience

Work Experience:

  • Five years of progressively responsible experience, including one year leadership skills

Preferred Education and Experience:

Education and Knowledge:

  • Bachelor’s degree in business, supply chain management, or related field, or its equivalent required, Master’s degree preferred

  • Deep network of contact with IT and other healthcare service vendors

  • Excellent negotiation skills

  • Ability to work well with all levels of the organization

Work Experience:

  • Management professional with at least 7 years of experience. Broad understanding of vendor management.

  • Experience with software licensing, hardware procurement and outsourcing agreements

  • Ability to manage virtual, geographically dispersed teams

  • Experience managing vendors/external suppliers

Additional Information:

  • Position is virtually based.

  • Position may be required to travel up to 20%.
